Einstein Executive Board Job Descriptions & PTSA Committees:
President's Committees
Co-Presidents:
A one- to two-year commitment dedicated to building a strong PTSA. Experience with PTSA goals, organization and procedure is an advantage. One co-president should be beginning a second year as a new co-president is elected to ensure continuity. They are active, supportive leaders who preside at all Executive Committee and membership meetings, keep the membership well informed and focused on the PTSA mission. They keep in close contact with school administration to ensure that the PTSA/s and school's goals correspond. And head up the board committees for Golden Acorn, Outstanding Educator, E-Newsletter, website and Volunteer Coordinator.
Secretary:
A one- or two-year position. Takes minutes at all PTSA meetings. Maintains legal documents for organization. Files and keeps copies of all minutes, correspondence, committee reports, newsletters, meeting notices, etc.
Treasurer:
A one- to two-year commitment dedicated to building a strong PTSA. Keeps accurate financial records of all funds received and disbursed. Submits a written monthly report at each PTSA meeting. Deposits funds received into the PTSA bank account, writes checks, as authorized by the Board. Preserves and maintains all vouchers, receipts, bank statements, cancelled checks. Plays a major role in planning future budgets and monitors use of current budget funds.
Einstein Newsletter Editor:
Responsible for the monthly publication and electronic distribution of Einstein's school e-newsletter. Collects content from school staff, principal, and PTSA. Designs layout and edits. Establishes article submittal and publication deadlines.
Volunteer Coordinator:
Develops and maintains a database of volunteers and bakers. Assists VP's and committee chairs in recruiting volunteers and bakers for specific events during the year as needed. Currently done via an opt-in gmail list which accepts requests and forwards them out to the e-volunteer list.
PTSA Website:
Maintains and updates website once a month or as necessary to keep information current. Downloads monthly e-newsletter, and meeting minutes. Maintains contact information and updates Executive and committee board members annually.
Membership:
Prepare membership forms/envelopes for the main Membership Drive at Pass-the-Hat and at other public school events. Compile returned membership forms/envelopes for entry into Washington state PTA database. Totals money received and forwards totals and checks to PTSA Treasurer as memberships come in. Prepares membership cards and coordinates distribution with Student Directory Chair. This is another great at-home project with the majority of work done during the beginning of the school year. A year-long commitment is necessary to process memberships as they come in throughout the school year.
Legislation:
A one- to two-term commitment dedicated to building strong PTSA. Ideally a Co-Director position with staggered terms to ensure continuity. Keeps track and informs membership about local regional, national and state legislative activities that affect the education and welfare of children. Surveys the membership about Washington State PSTA legislative priorities for the year. Represents Einstein at WSPTA's annual Legislative Assembly in the Fall where the platform is voted on for the current year.
Lost & Found/The Works & Food Drive/Teen Gifts:
This is a year-long commitment performed in and around Einstein and our local community. Activities throughout the year include school-wide drives, teen gifts, the holiday food drive benefiting local families in need, and coordinating volunteers to help at "The Works".
Staff Appreciation:
Plans and facilitates periodic tokens of appreciation to the school staff throughout the year and during Staff Appreciation week, such as luncheons and or breakfasts with food donated, prepared and presented by PTSA volunteers.
Student of the Quarter:
This event occurs at the end of each quarter in the morning before school starts and lasts about an hour. The chair(s) coordinate buying refreshments and recruiting volunteers to hand them out to award recipients and their family members attending the ceremony. The chair also submits a short article to the PTSA e-newsletter congratulating the students and thanking volunteers for their help.
Reflections Art Program:
The chair(s) will coordinate the PTA sponsored Art program. Advertising the event via e-newsletter, website and teachers, collect entries and submit for judging. Coordinate with the local PTA council and state PTA as needed. This event begins in the early fall and runs through December. The chair also submits a short article to the PTSA e-newsletter.
Eighth Grade Party:
Coordinate volunteers and refreshments for Eighth Grade graduation party.
Future Fest:
Coordinate a daytime event for 7th graders while the 8th graders are visiting the UW and Shoreline Community College. Provide information and resources on career choices, additional colleges and non-college programs, and career pathways. Consider utilizing the community to engage people to talk about their careers or colleges. Create an engaging and informative event that encourages 7th graders to think about future planning in a non-stressful, fun way.
